We take your privacy seriously. This policy explains how we collect, use, and protect your data, including information related to GPS tracking on our hire bikes.

1. What Data We Collect

  • Personal Data: Includes your name, contact details, and GPS data linked to your hire period.

  • Anonymized Data: Includes GPS location and route data stripped of personal identifiers.

  • Rider Details: Where a hire covers more than one rider, the person making the booking may give us each rider’s name, email address and body weight. These fields are optional and a booking works without them.

2. How We Use Your Data

  • Personal Data: Used during the hire period for:

    • Security and recovery of bikes.

    • Managing overdue returns or disputes.

  • Anonymized Data: Used for:

    • Analyzing trends and popular routes.

    • Improving our services and customer experience.

  • Rider Details: Used to set up each bike before you arrive, including suspension settings matched to the rider’s weight, and to send each rider the safety briefing for the bike they will be on. Rider email addresses are used for that hire only and are never added to a marketing list.

3. Legal Basis for Processing

  • Personal Data: Processed under legitimate interests to protect company assets.

  • Anonymized Data: Processed as it is no longer personal data under GDPR.

  • Rider Details: Processed under legitimate interests, so that bikes are set up correctly and every rider is given the safety briefing for the bike they will ride.

4. Data Retention

  • Personal GPS data will be retained for up to 30 days after the hire period.

  • Anonymized data may be retained indefinitely for analysis.

  • Clients’ details will be retained for 7 years for contractual purposes and tax records.

  • Basic details (name, address, telephone numbers, email address) may be retained for a minimum of 6 years after contract completion.

  • Information from phone and email enquiries will be stored for up to 12 months.

  • Data gathered via our contact form will be stored for up to 12 months.

  • Other customer-related information will be stored for up to 7 years.

  • Rider details (name, email address and weight) are held with the booking they belong to, and are removed when that booking’s personal data is erased.

  • We continuously review the data we hold and delete what is no longer required.

5. Your Rights

You have the right to:

  • Request a copy of the personal data we hold about you.

  • Request correction of any inaccurate personal data.

  • Request deletion of your personal data when it is no longer necessary to retain it.

  • Withdraw consent to data processing (where applicable).

  • Request data portability where applicable.

  • Restrict or object to certain types of data processing.

  • Opt-out of anonymized data usage for analytics.
